Junior Guild Executive Board Responsibilities

 

President(s):

The President shall preside over all meetings and guide and direct the activities of the Junior Guild. The President will report to the Liaisons appointed by the Guild of Family Service before each meeting and throughout the year. Additionally the President will report to the Executive Committee of the Guild of Family Service of Greensboro as needed. She along with the Junior Guild Executive Board shall make a schedule of meetings for the presiding year. She shall assist as needed with any special events.

 

President-Elect(s):

The President-Elect shall assist the President and coordinate with the Liaisons of the Junior Guild for all meetings and activities of the Junior Guild. The President-Elect will report to the President and the Liaisons of the Junior Guild. She shall assist the monthly meeting chairs with all necessary duties needed to implement the assigned activities of the monthly meetings. The President-Elect shall be available to fill in as needed in whatever roles require assistance in support of the mission of the Junior Guild.

 

Vice Presidents of Community Service:

The Vice Presidents of Community Service shall take the lead and act as volunteer coordinators for specific community service events where the Junior Guild assists the Guild of Family Service. Some of these events include Greek Festival, Big Hair Ball, Clara House Tour, Healthy Start Baby Shower, and other events that may need assistance.

 

Secretary:

The Secretary will attend all Junior Guild meetings and will be responsible for taking attendance at each and maintaining a spreadsheet (in Google docs or Excel) of attendance. In addition, the Secretary shall provide the number of attendees to the Junior Guild Liaisons within 3 days of the meeting or event whenever possible.

 

Treasurer:

The Treasurer shall receive all dues and monies of the Junior Guild. She shall assist with the interest meeting and assist in collecting dues and generating reports as needed. She will contact monthly meeting chairs at each meeting to obtain receipts and initiate reimbursements as needed.

Secretary of Social Media:

The Secretary of Social Media shall maintain our JG Instagram and Twitter accounts. She needs to be available to regularly post information (often within 24 hours) to promote upcoming meetings and events. Additionally, intuitive observations of Junior Guild contributions and individual successes should also be promoted and highlighted. Initiated communication with Liaisons and Presidents is required to ensure all events and activities are promoted.

 

Junior Guild Directory Chair:

The Junior Guild Directory Chair is responsible for updating the data base and directory of all Junior Guild members annually. The Directory will be compiled from all the membership forms collected at the September interest meeting and by the deadline following (usually mid-October). The Directory will be submitted to the Liaisons for submission to the Guild of Family Service directory if needed and used for all Junior Guild communications. Additional forms of this spreadsheet may be needed by the Liaison of the Junior Guild. Microsoft Word/Excel or Google Docs proficiency is required.

 

 

 

BOARD

 

 

Photographer(s):

The photographer will attend all events and coordinate with the Website Contributor and Historian to insure that all events are recorded in photos. If more than one photographer is needed we will require that at least one is a rising Junior. She shall send photos via email or text to the Website Contributor and Historian. Photos may also be needed by our social media chair for necessary posts.

 

Membership Development Chairs:

The Membership Development Chairs shall be responsible for recruitment and orientation of new members. They will work with a group of girls from each grade level (10th-12th) and invite and promote membership with our September Interest meeting. They will assist with membership and building of our organization within the school they attend and other organizations in which they participate. They will assist with communication and reminders to students at the school(s) they represent.

 

 

 

Monthly Meeting Chairs:

The Monthly Meeting Chairs shall prepare and plan the activities of our monthly meetings. They shall provide supplies as needed to execute the activities. The Monthly Meeting chairs will lead the members through the meetings activities and communicate with the Presidents and Liaisons prior to the meetings. All supplies will be funded by the Junior Guild.

 

 

Fall Tea Chairs:

The Chairs of the Fall Tea and Healthy Start Baby Shower are responsible for the planning and organization of these two large events. Invitations, decorations, food, and other specifics will be needed. These events are funded through the JG, however there is much planning and preparation needed to ensure success. Additional responsibilities include organization and distribution of the Gifts for the Mothers of Clara House at our Fall Tea and delivery of Baby Shower Gifts to Family Service.

 

Spring Healthy Start Baby Shower Chairs:

The Chairs of the Fall Tea and Healthy Start Baby Shower are responsible for the planning and organization of these two large events. Invitations, decorations, food, and other specifics will be needed. These events are funded through the JG, however there is much planning and preparation needed to ensure success. Additional responsibilities include organization and distribution of the Gifts for the Mothers of Clara House at our Fall Tea and delivery of Baby Shower Gifts to Family Service.

 

“Soup It Up!” Chairs:

The Chairs of the “Soup It Up!” Fundraiser shall be responsible for the planning, organization, communication with volunteers and sales for this annual event. The Chairs shall meet with the Junior Guild Liaisons, “Soup It Up!” Advisor Leah Murray and Catering Advisor Kristi Lowe to determine types of soup, date of event and ordering/preparation of any items. They will oversee volunteer sign-up and attend one of the cooking shifts. They will make a presentation to the membership to share the details and encourage involvement.

 

Website Contributor(s):

The Website Contributor shall oversee website information, photos and shall create an annual summary to be posted on the website. The annual summary will be submitted to the President(s), Historians and Liaisons of the Junior Guild. Additional coordination will be required with the Secretary to obtain accurate minutes from previous meetings.  

 

 

Historian(s):

The Historian shall create an annual report to be presented in a three-ring binder to the President and to the Junior Guild. She shall record the year through photos of events as well as written short summaries. Supplies will be funded through the Junior Guild. This scrapbook will be presented at our end of year meeting.

 

 

 

Sophomore Members at Large:

Sophomore Members at Large are the building foundation of the Junior Guild membership. Membership development and education of our organization are vital components of this committee. Promoting our interest meeting by passing out information flyers and speaking to fellow classmates about the mission of the JG. Mandatory attendance of our interest meeting and continued active involvement at future meetings and events. As future leaders of the JG your active participation is required and a key component to the success of the JG. Sophomore Members at Large will work closely with the VP’s of Membership.
